2023 Texas 4-H Roundup Registration Opens Monday at 8 am

2023 Texas 4-H Roundup Registration opens on Monday, May 1 at 8 am. A TENTATIVE schedule of events has been released on our Texas 4-H Roundup blogspot at http://texas4hroundup.blogspot.com/ . This schedule will be continually updated as changes are made. We recommend not printing the schedule until June 2, however changes could still be made after that if the need arises. We are working to get the Texas 4-H Roundup App updated and will announce when that goes live with the schedule details. 

REGISTRATION DEADLINES:

May 1, 2023: Deadline to submit volunteer screening application for those who will be serving as a chaperone of youth from their county.

May 1 - May 15, 2023 

May 16, 2023 - May 17, 2023: Additional $50 Late Fee

May 18, 2023 – May 19, 2023: Additional $250 Late Fee

May 20, 2023 - May 31, 2023: Additional $500 Late Fee

NO REGISTRATION ACCEPTED AFTER MAY 31st


REGISTRATION TYPES: BE SURE TO SELECT THE RIGHT TIME OR YOU WILL HAVE TO DELETE AND START THE REGISTRATION PROCESS OVER TO CHANGE TYPES


ALL-INCLUSIVE MEANS (access to contests, workshops, Trade Show plus any pre and post Assembly events for the entire week of Roundup, Monday – Thursday)


1.    YOUTH ALL-INCLUSIVE: $120.00 

2.    YOUTH DAY SPECIFIC PASS: $50 (access to contest, workshops, Trade Show and pre-post Assembly events that SINGLE CONTEST DAY ONLY) 

3.    ADULT VOLUNTEER (All Inclusive -$75 or by day at $30)

4.   AGRILIFE EMPLOYEE (All Inclusive -$75 or by day at $30)

5.   YOUTH – JUNIOR/INTERMEDIATE GUESTS ($40 week or by day at $15) Grants access to all aspects of the week except contests and workshops. This is meant for providing credentials for siblings/employee children who will be in attendance

*By day will only grant access to the events in Reed that day only


AII SENIOR LEVEL YOUTH (those competing and non-competing), AGRILIFE EXTENSION EMPLOYEES AND CHAPERONES MUST PRE-REGISTER THROUGH 4HONLINE!!!! 


For those adult guests who are not serving as Chaperones, we will have onsite registration available again this year. We are working with AgriLife Registration currently and hope to open an online method to accept pre-registrations beginning May 22 – May 30 so they may SKIP THE LINES at the onsite registration desk. More information to come. This would be reserved for Adult registrations, youth should pre-register if they are attending. 


4-H SCHOLAR REGISTRATION:

4-H Scholars will not need to register in 4HOnline UNLESS THEY ARE COMPETING. A recognition ceremony will take place Wednesday and Thursday evening during the Roundup Assembly. Scholars are asked to attend the evening assembly of their scholarship banquet night using the credentials provided to them from their Scholar Banquet. Scholars will also be given 2 guest passes for parents/guest to attend complimentary the assembly in Reed that evening only. More details will be provided when the scholar announcement is sent by the Texas 4-H Foundation with complete invitation details. But again, if a potential scholar is competing, they will need to register in 4HOnline by the May 15th deadline or be assessed a late fee.

During the registration process, we will ask you to select Yes/No regarding participation in events such as College Career Fair, Kick Off Event, At-Large Election Presentations, Agents Got Talent, and Workshops so we have a general idea of the numbers to expect. You can still participate if you do not select at the time of registration, but for planning we needed a general headcount. We will be providing food Monday between the Kickoff Speaker and At-Large Presentations for those attending the Kick-Off Event. Lunches for workshops WILL NOT BE PROVIDED this year, however we are working to have an option to pre-purchase meal tickets for lunches which will be provided through the concessions there at Reed Arena, or Food Trucks. We are still waiting on University officials to let us know final details. Those attending the workshops would not have to leave the area for lunch in between sessions and come back to Reed.


FORMS REQUIRED AT TIME OF REGISTRATION:

May 1, 2023: Deadline to submit volunteer screening application for those who will be serving as a chaperone of youth from their county. All adults serving in an overnight chaperone role are required to have a Criminal Background Check within the last three years and complete the Child Protection Training course.


CHAPERONE RATIO:

All youth attending Texas 4-H Roundup must be accompanied by an adult. This adult can be a parent/guardian, a Texas 4-H Approved Volunteer or their County Extension Agent. If serving as a chaperone, remember to adhere to the 1 adult to 8 youth ratio. All chaperone ratios must adhere to gender (i.e. if you send 4 males and 4 females, then you need 1 male chaperone and 1 female chaperone). All youth will be required to declare who will serve as their primary chaperone during the registration process on 4HOnline. Youth not naming an adult chaperone in the registration process will not be accepted. 


Chaperones will always need to have the following forms with them for each youth that are in their care.

  1. 2022-2023 Waiver, Indemnification Form (a copy should be uploaded to 4Honline and kept with the overnight chaperone)
  2. 2022-2023 Health Safety Statement (HSS) (a copy should be uploaded to 4Honline and kept with the overnight chaperone)
  3. 2022-2023 Code of Conduct
  4. SAP Permission for Self-Administration
  5. OTC Permission for OTC Medication
  6. ADM Authorization to Dispense Medication

More information will be sent in the coming weeks regarding Roundup t-shirt ordering, parking passes, and lunch pre-meal purchases. These purchases cannot be processed through 4HOnline.
